HRIS/Payroll Administrator

 

 

This position is responsible for configuration, optimization and support of the Human Resource Information Systems (HRIS). The HRIS administrator is responsible for high-level report writing as needed for Finance, HR, and other management, overall system performance and maintenance/upgrades, including ensuring information security and data integrity, testing updates, and improving process efficiency.  This position serves as a technical point of contact and is the subject matter experts with report writing and analyzing data flows for process improvement opportunities. This position will be instrumental in the department’s ongoing efforts to automate and streamline internal HR processes.

 

This position will also be responsible for processing bi-weekly payroll via UltiPro for approximately 420 employees and will ensure accurate processing and recording of company’s payroll and provide timely and accurate financial information. This role requires experience and knowledge of current payroll laws and rules and for the person to be a self-starter, highly accurate and detailed oriented.  This role also requires a person who is reliable, punctual, well organized, with excellent follow through and time management to routinely meet deadlines.  

 

Responsibilities

HRIS Specialist Responsibilities:

  • System configuration, optimization and support of the Human Resource Information Systems (HRIS).
  • Conduct HRIS maintenance, data management, generate reports and metrics, provide analysis and interpretation of report data and collaborate with HR team members to implement solutions.
  • Analyze, develop methods of process flow improvement and procedures and protocol. This includes but not limited to developing automated workflows and self-service features.
  • Evaluate current system for utilization, and improving business process and practices to streamline and optimize efficiency.
  • Prepare, process documentation and audit data to ensure data integrity; work with HR team members to resolve data and related problems.
  • Conduct HR compliance assessments and internal audits. Analyze results and provide formal and informal reports of findings, including recommendations for improvement. Effectively communicate findings to HR Director, internal and external stakeholders and customers, and assist with related corrective action as needed.
  • Maintain HRIS integrity by performing necessary data entry, reporting, and auditing as requested.
  • Troubleshoot issues with HRIS, research, resolve or escalate issues as necessary; proactively keeping end-users aware of status and taking responsibility for ensuring outstanding issues are addressed in a timely manner; work closely with IT and HR team to resolve matters.
  • Responsible for HRIS relations including, but not limited to weekly HRIS calls with HR team and vendor relations manager.
  • Adhere to all state and federal privacy regulations, including HIPAA and Company policies and agreements regarding confidentiality, privacy, and security.
  • Perform other duties as assigned.

Payroll Responsibilities:

  • Accurately and timely process bi-weekly payroll for 420 + employee using Ultimate software. Review proper reporting of time within payroll system
  • Review and approve quarterly payroll returns
  • Process wage garnishments
  • Reconcile employee purchases and other payroll related general ledger accounts
  • Prepare manual checks as needed
  • Process termination checks in adherence to state law requirements
  • Download bi-weekly payroll reports and earnings reports for managers as needed
  • Generate employee earning reports for managers as needed
  • Field and answer payroll questions from employees and promptly respond to employee questions and problems regarding payroll issues as needed
  • Assist in the preparation of payroll reports to include Worker's Compensation Reporting, and other state reporting requirements.
  • Upon request, prepares payroll reports for Accounting.
  • Assist in accurately filing payroll and human resource documents into the employee master file, on a daily basis. Files other payroll-related documents as needed
  • Document standard operating procedures and standard work instructions for payroll
  • Other necessary duties as assigned

Qualifications

HRIS Qualifications:

  • 3-5 years’ experience with administering, maintaining and auditing human resource computer system for an organization ensuring data integrity of employee information.
  • Ability to configure, optimize and support Human Resources Information System (HRIS) to enable the following functions in enterprise settings for onboarding, time tracking, payroll, benefits, performance management, employee self-service, etc.
  • Familiar with HR workflows and documentation in enterprise setting.
  • Ability to translate business workflows into software.
  • Ability to work on team and proficient in collaborating with internal stakeholders and vendor to understand and contribute to vision and value of specific projects
  • Excellent computer and technical skills.
  • Ability to interpret and communicate regulatory and contract compliance requirements for implementation purposes.
  • Sound decision-making skills and excellent professional judgment.
  • Ability to handle sensitive and confidential information on a daily and ongoing basis.
  • Ability to communicate clearly and concisely both orally and in writing, including technical writing, interpersonal skills, and speaking to groups of employees.
  • High level of organizational skills and attention to detail.
  • Ability to work as an effective team member within HR and independently.
  • Able to manage time and meet deadlines under pressure.
  • Ability to prioritize multiple tasks and organize large amounts of information.
  • Ability to maintain accurate records and documentation of standard operating procedures.
  • Ability to understand and follow oral and written instructions.

Payroll Qualifications:

  • An Associate’s Degree in Accounting or other related degree, and 5-7 years of recent payroll experience working with the day-to-day activities in payroll, accounting, accounts payable or purchasing function is required.
  • In-depth knowledge of payroll tax and accounting principles as well as wage and hour laws required.
  • Certified Payroll Professional (CPP) designation preferred.
  • Experience with Ultimate Software for Payroll/HRIS functions preferred.
  • Experience in a Human Resources department, preferably in a manufacturing or engineering environment. Background should cover the range of HR disciplines. 
  • Highly accurate and detail oriented required.
  • Advanced knowledge of MS Office programs including Excel, Outlook and Word required
  • Excellent 10 key skills preferred.
  • Strong service orientation and interpersonal skills to deliver excellent customer service.
  • Excellent problem solving and analytical skills.
  • Ability to excel in a deadline oriented environment and demonstrate a high level of competence in organizing and prioritizing multiple work assignment.
  • Demonstrated ability to handle and prioritize multiple tasks while maintaining strong attention to detail and a great attitude
  • High degree of organizational skills and practice of good time management.
  • Ability to work independently and as part of a team. Excellent team skills with the ability to interact effectively with multiple internal teams and create collaborative relationships with peers and leadership.
  • Reliable, punctual, well organized, with excellent follow through and time management to ensure on time delivery of deadlines.
